LESSON 01 · EMAIL WRITING

Clarify a changed request.

Try one email of your own after watching the lesson. Use AI to turn these notes into a clear request that sounds like you.

01 The task

You work at a small training company. Write a short email to Jordan, the client contact, asking for the decision you need before revising the workshop agenda.

Sound helpful, direct, and natural. This is a practice scenario; everything you need is in the notes below.

02 Your notes

  • A customer-service workshop is scheduled for Thursday, October 8, from 10 a.m. to noon.
  • Jordan approved an agenda with 45 minutes on customer conversations, 45 minutes on handling complaints, and 30 minutes of practice.
  • Jordan has now asked to add a separate 30-minute question-and-answer session.
  • Jordan also asked to keep the noon finish time.
  • The trainer has another commitment and cannot extend the workshop past noon.
  • You need Jordan to choose which existing section or sections to shorten by a total of 30 minutes before you revise the agenda. No revised agenda has been agreed.

03 Try it

  1. Write your first prompt. Give AI the recipient, the purpose of the email, the facts, and the tone you want.
  2. Read the draft against the notes. Decide what needs changing. Ask for a specific revision if it would improve the email.
  3. Check your final draft below. Keep the wording that sounds like you.

You are drafting an email for practice; do not send it.

04 Check your draft

Judge whether the email works, rather than whether it matches a particular wording.

  • A clear request

Does the email ask Jordan which existing section or sections to shorten by a total of 30 minutes before the agenda is revised?

  • A clear reason

Does it explain that adding the Q&A while keeping the noon finish requires reducing the existing agenda?

  • Accurate facts

Check any dates, times, durations, and commitments against the notes. You do not have to repeat every fact.

  • No invented commitments

Do not promise an extension, choose sections to remove for Jordan, claim a revised agenda is approved, or invent a reply deadline.

  • Your own voice

Read it aloud. Replace wording you would not normally use. Keep the request helpful and direct.

If a check fails, identify the specific issue and revise it. Compare the result with the original notes yourself. A correct first draft does not need an artificial revision.

You’re ready when you can explain what decision Jordan needs to make—and why you would be comfortable sending the final draft.
